Clear Books Advisory, LLC ("Clear Books Advisory," "we," "us," or "our") respects your privacy. This Privacy Policy explains what information we collect when you visit clearbooksadvisory.net, contact us about a possible engagement, or work with us as a bookkeeping client, and how we use and protect that information.
Information we collect
We collect information in three ways.
Information you give us directly. When you submit our contact form, request a call, or send us an email, you provide your name, business name, email address, phone number, industry, and any notes you choose to share. When you become a client, we collect additional information needed to perform our services, including financial records, bank statement copies, accounting software access credentials, and tax identification numbers.
Information collected automatically. When you visit this site, our hosting provider (Vercel) records standard server logs including IP address, browser type, pages visited, and referring URL. These logs are used for security, error monitoring, and aggregate traffic analytics.
Information from third parties. We may receive information from referral partners, accounting software platforms (QuickBooks Online, Xero) when clients authorize a connection, and from payment processors when clients pay our invoices.
How we use information
We use the information we collect to respond to your inquiries, provide bookkeeping and advisory services, send invoices, communicate about your engagement, comply with legal and regulatory requirements, and improve our website and services. We do not sell your information to third parties for marketing purposes.
How we share information
We share information only with parties that need it to deliver our services to you. This typically includes accounting software providers (such as QuickBooks Online), payroll providers (such as Gusto) where you have authorized us to operate, our subcontracted bookkeeping staff under confidentiality agreements, payment processors, professional advisors (including external CPAs and attorneys) when relevant to your matter, and government authorities when required by law.
Cookies and analytics
This site uses minimal first-party cookies for functional purposes only. We do not currently run third-party analytics that track individual users across sessions. If we add analytics in the future, this Privacy Policy will be updated and we will provide notice on the site.
Data retention
We retain client engagement records for the period required by our professional and regulatory obligations, generally seven years after the end of the engagement. Inquiry and contact form submissions that do not result in an engagement are retained for one year unless you ask us to delete them sooner.
Security
We protect client information with industry standard safeguards including encrypted file storage, multi-factor authentication on client portals and accounting software, restricted access on a need-to-know basis, and signed confidentiality agreements with any contractor working on a client account. No security measure is perfect, but we take this seriously.
Your rights
You may request access to the personal information we hold about you, ask us to correct inaccurate information, ask us to delete information when no longer needed for the purposes described above, and ask us to stop sending you marketing communications at any time. Some rights are limited by the requirements of state and federal law, particularly for client records subject to professional retention rules.

Children
This site and our services are intended for businesses and the people who run them. We do not knowingly collect information from children under 16.
Changes to this policy
We may update this Privacy Policy from time to time. The "Last updated" date at the top of this page will reflect any changes. Material changes will be communicated to active clients directly.
